Schedule Manager - Manage Your Course Schedule
Use the Schedule Manager to build and manage your schedule of classes. The schedule manager takes advantage of schedule templates (ex. 5-day class, M-F, 9AM-4PM) to rapidly schedule class days. Once you have built your resource lists (courses, locations, classrooms, instructors, and equipment) scheduling your classes is a breeze. You can add a class, change a class’ run status, modify a class, or cancel a class through the Schedule Manager. If a class is cancelled or changed, automatic e-mail notifications are sent notifying students of the change. The Schedule Manager also serves as a real-time dashboard showing current enrollments and profitability metrics. You can define costs for each class which are used to generate the profitability metrics. Cost factors include room, instructor (daily rate, air, hotel, car, and per diem), equipment, shipping, kits, and kit shipping. The maximum number of students can be defined for each scheduled class so that you don't exceed the class capacity and so that you have real-time insight into seat availability.
Course Manager - Manage Your Course Offerings
Course Manager is the interface you use to create and manage your course offerings. Courses can be grouped by category to organize how your course catalog is displayed on your web portal. A course can also be categorized by “vendor” if you provide vendor-authorized or vendor-specific training. Each course has a name, description, number, and advertised cost. You can also specify a course detail URL to provide a location that contains a syllabus or description of the course. The saleable attribute allows you to enable or disable the ability to create class schedules for the course or display it in the course catalog. You can also assign a default schedule template to a course (e.g. Mon-Fri 9-5) so that class days are automatically scheduled each time you add the course to the schedule.
Student Manager - Manage Student Data and Class Registrations
Your sales people use the Student Manager interface to mange student information, sign students up for classes, drop classes, and reschedule students for another class. This powerful interface allows you to search for a class by location, metro area, course name, start date, and end date. Your sales person sees the current status of the course immediately so they can be sure they enroll the customer in a class that will run, or possibly put them in the most profitable class. If you ever wanted to pay commission on margin but didn’t have the tools to do it, now you can have the real-time information your sales people need to make the most profitable sales. You can add a note to your sales staff offering an incentive for a particular class and really turbo charge your sales.
Schedule Templates - Enable Rapid Schedule Creation
You use Schedule Templates to define your standard schedules. The use of schedule templates is purely optional but they save time and effort if you add classes to the schedule frequently. Each course can be assigned a default schedule template (e.g Evenings, M-Th 6-10). When you add a class to the schedule, you simply choose a location and start date and the scheduled dates and times are added automatically. Schedule templates can also be used with the copy function to rapidly create class schedules. After you schedule one class, you simply click the copy button and specify a start date and all of your information is copied to a new class schedule.
Resource Manager - Manage Your Metro Areas, Locations, Classrooms, Instructors, and Equipment
Use the Resource Manager to define classrooms, locations (groups classrooms within a building or campus), metro areas (groups locations regionally), instructors, and equipment. Metro areas allow your students to search for classes at multiple locations within a region rather than one location at a time. Locations define a building or campus where classrooms are located. Each location can be assigned address, phone, website, and contact information. This information is provided to students in the student portal, on class schedules, and can be added to custom e-mail notifications. Each room can be defined as your own or an affiliate’s and also for public or private class use. Resource management enforces availability when scheduling classes so that you avoid overbooking rooms, equipment, or instructors.
Instructor Manager - Manage Instructor Credentials and Bookings
Instructor Manager lets you store contact information, courses they can teach, certifications, and vendor affiliations. When scheduling classes, CourseMax automatically filters the list of instructors based on their schedule availability and whether or not they teach the course you are trying to schedule.
Equipment Manager - Manage Your Inventory of Equipment
Equipment Manager allows you to maintain an inventory of equipment such as computers, projectors, or labs that are used in classes. Each piece of equipment can be assigned a manufacturer name, serial number, model number, version, acquisition date, location, room, description, and quantity on hand. CourseMax lets you schedule the use of equipment with a class and ensures that the necessary equipment will be available.
E-mail Templates - Manage Custom Notification E-Mail Templates
E-mail templates are sent automatically by CourseMax as a result of certain events (registration, confirmation, status change, etc.). The e-mail templates are completely customizable using either an HTML source or WYSIWYG (preview) interface. These templates can use variables (e.g. <%StudentFirstName%>, <%CourseName%>) to personalize the e-mails sent to your customers. If a class is cancelled, all students can be e-mailed automatically from the system informing them of the scheduling change and suggesting a new date and location. Confirmation e-mails can include a link that allows the e-mail recipient to confirm their registration with a single click.
General Configuration - Configure Application Options and Payment Gateway
The configuration screens allow you to define various options that determine application behavior. You also use this screen to define your merchant account information that is used by the payment gateway. The payment gateway handles directing funds to your account when a student registers and pays on-line with a credit card, PayPal, or e-check.
Home Page Editor - Customize The Student and Administration Portal Home Pages
Use the Home Page Editor to customize the home page of your student and administration portals. The home page content is completely customizable using either an HTML source or WYSIWYG (preview) interface. You can add graphics, choose fonts and colors and include any text or links you like on the home pages. The student home page is a great place to advertise specials and offers. The administration home page is a great place to communicate messages with your staff.
Student Registration Screens
Find a Class
Your customers access your schedule of classes through your own web site. A link or search area (provided by CourseMax) on your web pages launches a new window with a list of classes meeting the students search results, a list of courses that you offer, or a list of your locations. These web pages are “skinned” to match your web site’s color and font scheme. CourseMax is an extension of your website and, to your customers, it IS your website.
Register and Pay for a Class
When your customer has found the class or classes they are looking for, they can use the e-commerce capabilities of CourseMax to sign in to purchase the class. The funds are deposited directly into your own merchant account. During the registration process, your customer creates a login/password, and profile with their contact information. They can sign back into the system at any time to review their class schedule and history, drop, reschedule, or purchase additional classes.
View the Course Catalog
Students can view your course offerings using the course catalog. The catalog can be grouped and ordered by course category. Your customers can click the links associated with any course in the course catalog to see when and where the class is being offered or to view details of the course such as the course syllabus.
View and Manage Their Profile
Your customers can view and modify their contact information including address, phone numbers, e-mail address, company, title, etc. With CourseMax CRM your customer’s information is automatically kept synchronized with your Microsoft CRM system, avoiding double-entry, saving time, and improving accuracy. View and Manage Personal Course History (Schedule, Classes Completed, Classes Dropped)
